First and foremost, if you are considering migrating your data from QuickBooks Online to QuickBooks Desktop then you're making a big mistake.

This is because Intuit is no longer supporting QuickBooks Desktop. They have switched over to a cloud system and are now focusing exclusively on QuickBooks Online and QuickBooks Pro. There will no longer be any new versions of QuickBooks Desktop, and customer service agents will not help users that are still using QuickBooks Desktop in 2022.

That said, you can still use QuickBooks Desktop if you really want to. If you don’t need any updates or support, then your version of QuickBooks Desktop will still work perfectly. What is the easiest way to migrate data from QuickBooks Online to QuickBooks Desktop?

The easiest way to move data from QuickBooks Online to QuickBooks Desktop is through the Intuit Intercompany Transfer feature. This feature allows you to import data such as accounting transactions, source documents, or even bills directly into your desktop file.

Alternatively, you can choose to download everything from QuickBooks Online manually, then import that data into QuickBooks Desktop, or another application. Let’s go over how to do that. It’s actually very easy to do and only takes a couple of minutes.

How do I download everything from QuickBooks?

You have two options to download everything from QuickBooks: downloading the data directly to your desktop or downloading the data to a file.

The first option (downloading the data directly to your desktop) is useful if you want to see everything that is happening in your QuickBooks file in real-time. This is helpful if you have employees that are tracking time or if you're running a subscription-based business and want to see your customers' due dates in real-time.

You can also download data to a file if you want to use this data in another application. This option lets you download the data to a file that is compatible with other software such as Excel, Google Sheets, or Salesforce. 

To download everything from QuickBooks, follow these simple steps:

1. Click File, then click Download

2. Under Download options, click All company data.

3. Under Download to..., select Desktop.

4. Click Download.

That's really all there is to it. By default, your data will be formatted as a CSV file. This is ideal because many other applications can read and edit CSV files. Next, you just open your QuickBooks Desktop software, select the option to Import from the files menu, and select the CSV file that you saved to your desktop.

Can you export data from QuickBooks Online to Excel?

Yes, you can export data from QuickBooks Online to Excel. However, you have to first export your QuickBooks data to a file, and then load that file in Excel. Unfortunately, you cannot directly export data from QuickBooks Online to Excel.

QuickBooks Online, by default, exports data to a CSV file. You can then use this CSV file in Excel as a template.

To do this, follow these steps:

1. Click File, then click Download.

2. Under Download options, click All company data.

3. Click Export to file. Then, click Next.

4. Select the format as Comma delimited (CSV) and then click Next.

5. Enter a name for the file and then click Save.


6. Open the CSV file in Excel

Again, this is a really simple process that can be completed in only a few minutes. You can follow the exact same process to migrate your data to Google Sheets, Dropbox, Zapier, Salesforce, and many other applications.

We strongly recommend that you don't migrate your data from QuickBooks Online to QuickBooks desktop in 2022. QuickBooks Desktop is being phased out and is no longer receiving updates, security patches, or customer support.
